Awarding Parchment
 

RPg students whose awards are ratified by the Graduate School Board (GSB) at its meetings will obtain the award parchments.

Graduating cohort between 2014/15 and 2020/21

The Academic Council made a decision on the arrangement for the issuance of award parchments for 2014/15 and onwards. Under this arrangement, PolyU award parchments will be issued twice a year with cut-off dates set on 15 March and 30 September every year. The Academic Registry is responsible for award issuance.

RPg students whose awards are ratified by the GSB at its meetings between 16 March and 30 September will obtain the award parchments after the Main Session of the Congregation. The date of conferment to be printed on the award parchments for these students will be 30 September of the year concerned.

RPg students whose awards are ratified by the GSB at its meetings between 1 October and 15 March will obtain the award parchments in late March/April. The date of conferment to be printed on the award parchments for these students will be 15 March of the year concerned.

Graduating cohort of 2021/22 or after

With the Senate’s decision on the new arrangement for the conferment of research degrees, the Graduate School (GS) has taken up the role of conferring the RPg degrees in the name of the University, award issuance and dispatch of award parchments for ALL RPg graduates starting from graduating cohort of 2021/22. The date of conferment to be printed on the award parchments for these students will be the last date of the month of the GSB meeting. The GS will arrange to issue the award parchments quarterly.

Any RPg student who cannot collect the parchment in person may authorise another person in writing to collect it on his/her behalf. A copy of the RPg student’s Hong Kong Identity (HKID) card (or passport or Mainland ID card for those who do not possess a HKID card) and PolyU student identity card must be attached to the letter of authorisation. The copy of the HKID card/passport/Mainland ID card will be destroyed afterwards.

PolyU is not responsible for the safe custody of any uncollected parchments after the collection period. It is therefore the RPg students’ responsibilities to collect the parchments according to the stipulated schedule.

PolyU will under no circumstances issue any duplicates or replacements of the academic award parchments.
