PI's Free Quota
The free quota would be renewed when the new financial year starts (i.e. the next round of free quota would be renewed and valid from 1 Jul 2024 – 30 Jun 2025). Current users’ platform charges would be automatically deducted the amount of free quota (HKD 5,000) when the charges are over HKD 5,000 and receive an invoice for the settlement of outstanding charges. For new users, they will enjoy the free quota and be charged when the amount exceeds HKD 5,000. Each current and new user’s free quota would be renewed when the next financial year starts from so on. As such, users don't need to inform us when and how the free quota be used to settle the payment since the final amount to be charged would automatically deducted the free quota assigned to users accordingly.
UBDA would like to remind users that students/project-staff/guests do not have HKD 5,000 waived amount because they are not academic staff, and they are using their PI yearly waived amount together. That means users will be charged while their accumulated UBDA services (HPC, Cloud and/or Jupyterlab) usages are over HKD. 5,000.
Free use of URFs for 1st year APs and RAPs
Refers to RIO initiative, starting from November 1, 2023, all new Assistant Professors (AP) and Research Assistant Professors (RAP) will be given a one-year FREE use of research equipment under the operation by URFs.
For UBDA, once the accumulated total service charges exceed the free quota (HKD 5,000), RIO will issue an invoice to the corresponding PI (with the reduction of the free quota), and if the PI is an AP or RAP, he/she must provide documents to RIO to claims their full waive of total invoice amount.

Note:
- UBDA reserves the right determine whether a user should be charged as PolyU User, Collaborators or External User.
- Users of current PolyU staff and students with a valid PolyU Net ID is regarded as "PolyU Users".
- Users from other UGC-funded tertiary institutions and users form companies with ongoing collaborative projects with principal investigators at PolyU is regarded as "Collaborators".
- Users from commercial companies without ongoing collaborators with PolyU is regarded as "External Users".
- All charging rates are subject to change without prior notice. Users should refer to the latest version of this charging scheme, which is available on UBDA webpage.
- Charging model will be reviewed yearly.
- Users have a default storage quota of 200GB when creating an account, therefore, the minimum charge is HKD 4.6/200 GB-month.
Cloud Service
The charging contains two parts: volume and instance server. Network throughput, IPs and TCP ports are not charged.

Note:
- Users should delete the VM disk (to release the storage capacity) after you deleted the VM instance. Otherwise, the VM disk will be kept charging.
- To delete the VM disk, go to the Volumes/Volumes Tab, select your disk that its Status is "Available", then click "Actions" button, navigate and click the "Delete Volume".
- Please ensure you have backed up your data/files before you deletion.

Note:
- Once you login successfully and see the dashboard interface of Jupyterlab, the container server has been created and started charging until that container server is deleted.
- To delete the container, click "File" in the toolbar, then "Hub Control Panel", and click "Stop My Server".
- Log-out will NOT kill the container server, the container is killed by either manually clicking the button "Stop My Server" or reaching the 48-hour walltime limit.
