We recognize that managing a substantial volume of email messages can be challenging. Large size inbox message queue affect performance when synchronizing messages with your Outlook client, whether on a desktop or mobile. A mailbox with large size message content is more susceptible to data corruption risks.
- O365 Online Archive Folder
Regularly archiving items from your Inbox or Sent Items folders to the O365 Online Archive folders will help you organize old messages more and enhance your experience in locating older sent or receive message items.
You can create custom sub-folders within the Online Archive by time period. You can manually move inbox or sent items to online archive sub-folders or set up rules for automatic archive. Accessing your archived emails is similar to using your regular Inbox or Sent Items folders from Outlook client on desktop. To access online archive folder from mobile device, you need to run MS Edge browser and use Outlook web access under 'view desktop site'. - Auto-Archive function
We also introduced auto-archive function for all new students, staff or functional accounts activated after 1 March 2024. Messages sent or received over 6 months ago will automatically move to the online archive folder.

To customize your Auto-Archive settings, please follow these steps:
- Log in to your email account.
- Go to Settings > Mail > Auto-Archive.
- Adjust the settings to fit your personal preferences.
- Save your changes.
