How to compress and encrypt files with 7-Zip | Information Technology Services Office

If you intend to send a large PPT with embedded photos and graphics via messaging, it is recommended to first compress to reduce the size of content before sending. You can also add an additional layer of protection by encrypting document with sensitive information and set a password for decrypting the content before allowing it to be readable.

By encrypting your files, only the person with the password can decrypt / open the files. This can help to prevent unauthorized access to the sensitive information.

To Encrypt a File

1. Right-click the file you want to encrypt, select “7-Zip” and then click “Add to archive”.

2. Select the archive format (e.g. zip), define a strong password and then choose “AES-256” as the encryption method. Click “OK” when finished.

3. An encrypted and zipped file is generated and you can send the file to your recipient. Please be reminded NOT to send the password and the encrypted file in a single email. Send it in a separate email or through other means like by phone.
