Microsoft 365 Group enables target group of staff or students to collaborate on tasks such as document co-editing, spreadsheet update, project planning, share meeting scheduling, and email communications.

Creator of MS 365 group can specify resources such as an Outlook inbox, calendar, or document library intended for group collaboration.

When establishing a group, it's crucial to consider whether it should be classified as a private group or a public group.

In a public group, the content is visible to anyone within PolyU and all users in PolyU are automatically granted full permissions to the public group. This means that all users in PolyU will not only be able to read but also able to edit and delete the content posted within the public group.

In a private group, the content is restricted to group members only. Individuals who wish to join a private group must seek approval from a group owner.

Sensitive information should be safeguarded with additional access protection at the document level, such as document open password for read-only access, if shared in private groups. Sensitive documents should not be included in public groups.
