The registration process for participants attending PolyU events, hosted by various organizing units, has often been repetitive. Participants are required to re-enter information previously provided at prior events, leading to a disjointed and time-consuming experience. Furthermore, the data collected is scattered across different organizing units, making it challenging to gain a comprehensive overview.
Recognizing these challenges, proof-of-concept trials have been conducted across various departments in the past months. These trials identified system requirements, implementation challenges for large events with multiple hosting units, and best practices to enhance the experience of external participants and alumni.
We are thrilled to introduce the newly designed Common Event Management System (CEMS). This innovative system features a modular architecture, providing organizing units with the flexibility to select functions and features based on their specific business needs.
Additionally, the new system seamlessly integrates with PolyU's identity management and campus access infrastructure, streamlining the registration process and eliminating the need for participants to repeatedly input their information. Furthermore, promotional and communication activities can now be efficiently managed via the PolyU web platform.
Another practical feature of the system is its payment gateway, which streamlines payments on the registration form, significantly saving labor and time while enhancing overall efficiency.
We believe this new system will revolutionize event management, providing a more efficient and user-friendly experience for all involved. Departments and researchers are encouraged to use the Common Event Management System for organizing their future events.
