Instructions on Applying for Pre-approval of Subject Matchings in Student Exchange

Streamlined procedures and form will be used to enhance efficiency of subject matchings. Please notice the following

1. Each application form (BRE AS41a) supports only one subject matchings. Each student can submit more than one form at one time.

    

2. Please fill every part of the form carefully, in particular section III and IV. A copy of the syllabus of the subject to be taken at the exchange institution must be attached. [or you can copy-paste the syllabus under the section V]

    

3. Student can choose to email application form and syllabus to respective subject leaders (copy email to bre.exchange@polyu.edu.hk), OR put the hardcopies into the pigeon hole of respective subject leaders. The pigeon hole is located beside General Office, at South Wing.

    

4. Upon receiving the application form, subject leaders will review and revert a decision to General Office. Student will be informed by General Office as soon as your application result is available.

    

5. In case a student needs to submit new subject matchings when he or she has arrived at the host university, student can email the application form together with the syllabus to bre.exchange@polyu.edu.hk (copy email to Exchange Officer). The email and supporting documents will be referred to respective subject leader.

    

6. Upon successful completion of the exchange programme/activity, students need to submit a formal application for credit transfer of the subjects taken at the exchange-out institution by completing Form AS41c.

8. If student requests for any forms of endorsement, proofs, and signature from the exchange team, the normal processing time will be 7 days, depending on the nature of the document. Please contact bre.exchange@polyu.edu.hk.
