If your O365 Inbox or Sent Item folders filled with large volume of messages over a lengthy period, you will experience performance degradation in synchronizing messages to either your Outlook client on desktop or mobile. Sizeable mailbox content also runs higher risks of data corruption.
Archiving items from Inbox or Sent Item folders to O365 Online Archive folders regularly will allow you to better organize your aged messages and improve your user experience on sending / receiving current messages.
Users can create sub-folders under Online Archive main folder by different grouping as desired. Incoming messages or sent messages can be manually dragged to Online Archive sub-folders for retention or automatically moved to respective sub-folders using pre-set rules.
The method of accessing the messages in Online Archive sub-folders is same as the one in Inbox or Sent Item folders from Outlook client or Online Web Access via browser.
